Crushing Your To-Do List With The Pomodoro Technique

In today’s episode, we’re talking about my number one secret weapon for getting it all done every. Single. Week. 

It all started Waaay back in college. I was a full-time student working a full-time job, and I about killed myself trying to juggle it all every week. So, I decided to take some one-credit courses on study skills and, at the time, I thought they were so cheesy! I remember feeling like this all so common sense, and I couldn’t, for the life of me, understand why anyone would make a whole college-level course on this kind of thing. It wasn’t until the next quarter that I realized just how valuable this advice turned out to be. 

ESPECIALLY what I’m about to share with you today. This super simple time management method sounds so incredibly simple, but when you put it into practice, it can be genuinely life-changing. It is, without a doubt, the number one thing that keeps me moving forward in my cannabis company. 

And it’s the Pomodoro technique. The Pomodoro technique was credited by a fellow named Francesco Cirillo when he was in college himself back in the late 1980s. Francesco Cirillo is a partner in Cirillo Consulting. They are a huge business consulting firm based in Berlin that works with some of the world’s largest fortune 500 companies. His system of working in 25-minute increments, without interruption, with five-minute breaks in between has been adopted by productivity experts from sea to sea.  

As a funny business side note, he wrote a book about the technique back in 2006, which he offered as a free download. It was downloaded over 2 million times — about 250,000 times a year — before he finally realized he could have been making major money and took the pdf down in 2013. The full book which dives even deeper into his time management strategy is now limited to his coaching clients only.

But the genie out of the bottle and I have to say, as simple as it sounds. It really is revolutionary. 

So I’m going to take you behind the scenes of my cannabis company and walk you through exactly how I use the Pomodoro technique to crush my goals every week; 

Are you ready?  

Ok, Every month, I have my priority (like we talked about in episode one). This is the one big goal I’ve committed to tackling that will move me one step closer to my big picture dream. This month, my goal is to record 3 months’ worth of podcast episodes so I can focus on our next big launch in January. 

Every week, I have one priority related task that will help me accomplish my monthly mission. So my goal for week one of this month is to write my outlines, week two is to record the audio, week three is to edit the audio, and week for is to finish design and publishing. 

See how that’s all coming together? Sure it will take me a month to do. But I’m not going to stress over it, and when It’s all done, I can kick back for three months knowing that you guys have the content you need.

Once I know my monthly and weekly goals, I create a 10-item to-do list (every day) that will help me get to where I want to be. Then, I follow the Pomodoro technique. I focus for 25 minutes on one item at a time and take a little 5-minuet break-in between.

For example, It’s week one of my rotation now, so; I’m focused on writing. But I don’t want any distractions, so for the first focus session of the day, I usually answer emails and DM from the community. I make sure all of my people are happy, and then I take a 5-minute break to stretch and refill my tea.

The second session of the day is when I knock out all of the virtual errands that pile up throughout the week (pay rent, schedule meetings, order supplies, that sort of thing). It’s always a nice little confidence boost to know that you’re clients are happy, your errands are done, and your ontop of your game for focus session three.

The third session of the day Is usually reserved for my team. I’ll check my slack and touch base with any contractors that may be helping and generally make sure my team members have the resources they need to succeed.

By this point, I’m only an hour and a half into my day; It’s like 9:30 am, and everyone’s happy, I took care of my people, and now it’s time to focus on me.

And I’ll be honest; I don’t focus on anything, BUT MY OWN LIFE GOAL for the rest of the day. Unless someone is literally on fire or will explode if I don’t help them immediately, it can wait until the appropriate focus session tomorrow morning.

Now I can spend the rest of the day focusing on my real priorities and business dreams.

This week, I’ve been doing a 25-minute writing session six times daily (which gives me a solid 15 hours to write the 12 podcast episodes I need) So far, this is going swimmingly!

I take a full 24-minute break every four focus sessions to have a snack, do some yoga, or go out to the garden and pet my kitties. And I use those shorter five-minute breaks to do some breathing exercises, watch inspiring videos by my favorite mindset coaches, or make a brain dump list for the next week.

So that’s my secret formula! You have your big priority for the month, your priority related task for the week, and ten daily focus sessions to help you blast through your to-do list and make strides towards your dreams. Focus for 25 minutes at a time, with 5-minute breaks in between, and take a 25-30 minute break every four sessions to have a healthy snack and move your body.

And if you’re thinking, “that sounds too easy,” Try it! Wouldn’t it be awesome if this is really all it takes to get you where you want to be?

It’s AMAZING what you can accomplish when you focus on one single task and give it your full focus to complete. I mean, when you really think about it, I just described a pretty relaxing week. But somehow, I managed to take care of my clients, connect with my team, run all of my errands, meditate, do yoga, write 12 podcasts, and still be able to clock out at 6 pm to spend time with my family.

I’m not going to lie. It takes practice, self-discipline, and strategy to achieve. But when you master it, it can deliver the freedom that you’ve been craving in your company.

Even if you aren’t in this full time yet. Maybe you’re still working a 9-5 before you jump into your side hustle completely. This may take a little longer, but if you set yourself up for success by plotting out the baby steps to your dreams (and having a daily strategy). I have no doubt you will succeed.
